Silverbell Golf Club - Annual Membership Meeting November 4, 2017

The 2017 Silverbell Golf Club (SGC), general membership meeting was held on November 4, 2017 at Daisy Mae’s restaurant, coincident with the SGC end of year lunch.

In attendance were the following members of the Board of Directors:

  • Lee Task, President
  • Butch Hughes, Treasurer/Secretary and AGA Delegate
  • Rick Finch, Tournament Director
  • Marc Miller, Handicap Chairman
  • Jim Ballam, Member at Large
Lee Task:
Lee introduced the Board members in attendance, welcomed everyone to the event and gave a general "status of the club" report
Butch Hughes:
Issued the treasurer’s report and stated that the club was financially sound and that the paid membership count for 2017 was about 94. There were no issues to cover from the AGA
Rick Finch
Rick gave a brief overview of the status of the tournament schedule for the next year.

Lee Task opened the meeting to the membership for questions and comments. There was a general discussion about the possibility of having "random pairings" from time to time. The Board will look into that possibility.

The meeting portion of the meeting was closed.

The 2016 Silverbell Golf Club (SGC), general membership meeting was held on November 12, 2016 at Daisy Mae’s restaurant, coincident with the SGC end of year lunch.

In attendance were the following members of the Board of Directors:

  • Lee Task, President
  • Butch Hughes, Treasurer/Secretary and AGA Delegate
  • Rick Finch, Tournament Director
  • Marc Miller, Handicap Chairman
Lee Task:
Lee introduced the Board members in attendance, welcomed everyone to the event and gave a general "status of the club" report
Butch Hughes:
Issued the treasurer’s report and stated that the club was financially sound and that the paid membership count for 2015 was about 105. There were no issues to cover from the AGA
Rick Finch
Rick gave a brief overview of the status of the tournament schedule for the next year.

Board of Directors Meeting - Tuesday, January 26, 2016

Attending:

Meeting opened at approximately 11:30

Discussion Items:

  • Treasurer's report:
    • Butch Hughes reported that the club was solvent and had sufficient funds on hand and presented an outline of a budget for 2016.
  • Membership report:
    • Butch Hughes reported that as of 1/26/16 there were 79 paid renewed or new members.
  • 2016 Tournament schedule:
    • The 2016 Match play tournament will begin on February 10. Notification and sign up will be available on the SGC website.
    • The 2016 Member/Member tournament will be held on March 2 (Wednesday round #1), March 5 (Saturday round #1) and March 12 (Saturday final round).
    • Butch Hughes will create notification and sign up forms for the SGC website.
  • Additional discussion:
  • The Board approved a rewording of the text which appears on the AGA website describing SGC.
  • The Board approved the rewording of several sections of the club's by-laws. The changes to the by-laws will be submitted to the general membership for a vote via the SGC website. Butch Hughes will prepare the voting package for the website.
  • Lee Task will talk to OB Sports representatives at Silverbell about remounting the SGC signs and tournament plaques.
  • The question of whether the Board of Directors of the club should be insured was raised and what if any liability the Board members might have in the event of an legal action against the club. Since no one had any ideas, Butch Hughes said he would investigate the issue.
  • The Board is again looking to bring new Board members into the running of the club and welcomes any member in good standing to contact a Board member and become involved.

The meeting was adjourned at about 13:00.

Board of Directors Meeting - Tuesday, March 24, 2015

Attending:

Meeting opened at approximately 12:00

Discussion Items:

  1. Tee Selection:
    1. Beginning March 27, 2015 all SGC club rounds will be played from the “white” tee boxes.
    2. Male club members may choose to play from the “blue” tee boxes, or any tee box behind the “white” tees.
    3. Male club members may play forward of the “white” tees but may not participate in any money game, including, but not limited to; the format game, skins, or closest to the pin.
    4. Female club members may continue to play from the “red” tees. If they choose they may play any tees behind the “reds”.
    5. Rick will post an announcement on the club website and send a broadcast e-mail to the membership.
    6. Butch Hughes to send any unclaimed winnings to George Carlson.
    7. Membership Issues:
      1. The Board decided to develop a process for notifying members when certain play related issues arose; such as continued slow play, inappropriate conduct on the course, etc. Lee Task will begin to draft a document for review by the Board.
      2. Lee will also look at drafting a document to establish a “conditional” membership period. This will also be reviewed by the Board.
      3. There was also some discussion about making the minimum age for club membership 21 years of age. Butch Hughes will research this issue.
    8. There will be a Hot Dog day sometime near the end of April.
    9. The issue with OB Sports jamming tee times and moving our tee times was discussed and it was decided that this was most likely a “high season” issue and unlikely to continue into summer. Since the club has no leverage over OB Sports on the issue it was seen as something we would have to live with.

Silverbell Golf Club - Annual Membership Meeting November 15, 2014

The 2014 Silverbell Golf Club (SGC), general membership meeting was held on November 15, 2014 at Daisy Mae’s restaurant, coincident with the SGC end of year lunch.

In attendance were the following members of the Board of Directors:

  • Lee Task, President
  • Butch Hughes, Treasurer/Secretary and AGA Delegate
  • Rick Finch, Tournament Director
  • Marc Miller, Handicap Chairman

Absent was Ralph Burgher, Vice President

Approximately 35 SGC members were in attendance.

The following reports were presented:
Lee Task:
Lee introduced the Board members in attendance, welcomed everyone to the event and recognized the efforts of the “Money Men” Ralph Burgher, Jim Ballam and Tom Cleary in helping make each play day run smoothly
Butch Hughes:
Issued the treasurer’s report and stated that the club was financially sound and that the membership count for 2014 was about 103. There were no issues to cover from the AGA
Rick Finch:
Announced that the President’s Cup tournament would be held in December and that it would be a one day event. The dates will be announced on the SGC website. Rick also reminded everyone that the renewal process for 2015 was underway and members must renew before December31, 2014 to avoid a higher rate by A GA.
Comments from the members:
It was suggested that the club look at the possibility of rewarding members that brought in new members. Perhaps by paying for the member’s green fees for signing up a new member.

The Board will discuss this at the next Board meeting. With there being no additional discussion, the general meeting was ended.

Board Meeting Minutes - Wednesday January 14,2014

Club Members in Attendance: John Teale

Business items:

2014 Board of Director elections: On-line elections were held during December and the full slate of existing Board members was re-elected for a two year term. The Board members retained their 2013 club officer positions. The 2014/2015 Board is:

  • Lee Task President & Membership Chairman
  • Ralph Burger Vice President
  • Kevin Huston Handicap Chairman
  • Rick Finch Tournament Director
  • Butch Hughes Treasurer and AGA Representative

Website Updates: A review of the SGC website indicated that several sections on the site need updating, while some sections might be removed altogether. The goal is to eliminate redundant and/or erroneous information. The Board, with the help of John Teale, will review the site and will recommend the necessary corrections. Rick Finch will complete the updates as time allows.

Hole in One Club: Existing criteria for the Hole in One club was reviewed and found sufficient. Two points of interest were clarified:

  • Two Hole in Ones on the same day (by different players): In the event that two members make a Hole in One on the same day, the money will be split evenly between the two members.
  • Restocking the Hole in One fund after a payout: The Club treasury will immediately fund the Hole in One pot with a $200 subsidy until the money can be collected from the members to bring the pot up to at least $200, thereby insuring a minimum HIO pot of $200. The current Hole in One pot is $380.

SGC General Membership Meeting: The 2014 General Membership meeting will be held at Silverbell Golf Course on Wednesday, February 12, 2014 immediately following the day's round. Realizing that some members may not be able to attend the meeting the Board will send out e-mail announcements and encourage members not able to attend to e-mail their concerns and questions so they may be addressed at the meeting. Lee Task agreed to draft the meeting notice.

  • Wednesday, February 12th will also be a club sponsored Hot Dog day
  • Saturday, February 15th will be a Hot Dog day for the Saturday players.

Major Tournaments: Rick Finch and John Teale will review the list and rules of the Club's major tournaments. They will update the website as necessary. With the increase of new members this year, the Board is recommending that new members in particular review the criteria for eligibility in the Club's tournaments. It was agreed, by the Board, that the Match Play tournament is considered a Major Tournament.

Handicap Chair Backup: As the responsibilities of the Handicap Chairman increase, it was requested that a backup be identified. Since Rick Finch has accesses to the appropriate AGA website areas, Rick has volunteered so that SGC scores will be entered into the AGA system in a timely manner.

Treasurer's Report: Butch Hughes indicated that the Club was in good financial shape:

  • Through December, 2013 the club had approximately $4,000 in the accounts.
  • New members and renewals for 2014 to date are estimated to add approximately $2,000.
  • It was decided to add Lee task as a signee on the SGC Wells Fargo accounts to provide back-up.

Guest Player Policy: There has been some discussion concerning the need for a guest player policy. Ralph Burgher will draft a guest policy for review by the Board.

Tee Box Selections: SGC has implemented a "select your tee box" policy for members in 2014. The policy, briefly stated, allows members to choose the tee box they want to play from for the year. This policy went into effect on the first play-day of 2014 and appears to be working as intended. The Board elected to leave the policy in place as is and to continue to monitor the practice.

There being no other business for the Board, the meeting was adjourned.
